Terms & Conditions
Please read our travel terms and conditions before applying for your tour or retreat.
When you book a tour or retreat with ARTIST & NOMAD, you agree to the following terms and policies. These important details are designed to protect both you and us, ensure clarity, and support the success of each trip. If you are booking on behalf of others, you confirm you are authorized to accept these terms on their behalf.
Payment Policy:
Confirmation Email: We will review your application, and if we have any questions, we will contact you within 48 business hours. Otherwise, we will send you a confirmation email and invoice for your deposit or full payment(Cotswolds), which is due upon receipt.
Deposit or Full Payment: To hold your spot, your non-refundable deposit or full payment(Cotswolds) is due upon receipt of your confirmation email.
If applicable, all remaining installment payments must be made by the due date listed on the tour/retreat page.
Late Fee/Release of Spot: A $35 late fee will be added for each day past the deadline. If any payment is more than 5 days late, we reserve the right to offer your spot on the tour or retreat to someone on our waiting list.
Please let us know if you need a different payment plan, and we will do our best to accommodate you.
Refund and Cancellation Policy:
Refunds: Our tours and retreats are intentionally small, and cancellations have a significant impact on our team and our local partners. For this reason, all payments are non-refundable and non-transferable, with a few exceptions listed below.
If ARTIST & NOMAD cancels:
If we cancel a tour or retreat due to low enrollment, your deposit or initial payment will be fully refunded, or you may choose to apply it toward another tour or retreat in the same calendar year.
Forced Majeure: I understand ARTIST & NOMAD may not be able to refund any payments for a Force Majeure event, due to our local partners’ terms and conditions.
If You Cancel:
If you need to cancel, your deposit or initial payment is non-refundable, and any remaining scheduled payments will still be due.Tours/Retreats:
If someone you know would like to take your place on the same tour or retreat, and they are approved by ARTIST & NOMAD, we can transfer your payments and spot to them (minus a 10% admin fee).
Deposits or Payments cannot be transferred to a future tour or retreat unless specifically approved by ARTIST & NOMAD.
Cotswolds Retreats Transferability: If it is 60+ days before your retreat and your plans change, your payment may be transferred to another retreat within the same calendar year, if a spot is available and approved by ARTIST & NOMAD.
Travel Insurance Policy:
For most of ARTIST & NOMAD travel tours and retreats, travel insurance is required (see exception below). We recommend purchasing it within 2 weeks of your initial payment so your ARTIST & NOMAD tour fees are covered, helping protect your investment. You can always update your policy once you’ve booked your flights. You can choose the company and level of insurance coverage. We suggest it covers all basics such as: flights, tour fees, emergencies, delays, lost luggage, healthcare, etc.
Exception – Cotswolds, England Flora & Fauna Retreats:
Travel Insurance is not required if you are joining us from the UK.
If you are traveling from outside the UK, travel insurance is still highly recommended.
Travel Code of Conduct, Safety, and Etiquette: By registering for a tour/retreat, I agree to the following:
I understand that flexibility is part of traveling, especially with a group. To provide the best experience for all, Artist & Nomad reserves the right to make any necessary updates or adjustments to the trip’s itinerary before or during the journey.
I will communicate any special requests at least 45 days before travel. This includes dietary restrictions, manageable medical requirements, and room preferences. I also understand that ARTIST & NOMAD will make a reasonable effort to accommodate special requests, but cannot guarantee that they will be possible.
I accept that group dynamics require cooperation, flexibility, and respect. I will listen to and follow the guidance of ARTIST & NOMAD and our local partners.
I will respect the rights, privacy, and space of other travelers and hosts.
I agree to strictly comply with all local laws and honor the customs and culture of the places we visit.
I understand that ARTIST & NOMAD reserves the right to ask a guest to leave the tour if their health, behavior, or participation affects the well-being, safety, or experience of the group. This includes situations where someone is unable to meet the physical or social expectations of the trip, or if their presence disrupts the flow or harmony of the group
I understand that for everyone's safety and well-being, the decisions made by ARTIST & NOMAD and/or the local guides are final.
Travelers’ Health, Responsibility & Risk, Liability, and Force Majeure Agreement: By registering for a tour/retreat, I agree to the following:
Health & Wellness Requirements:
I understand some ARTIST & NOMAD tours/retreats involve moderate physical activity, and activity levels may vary by itinerary. By booking, I confirm I am in good health and able to participate fully without risking my safety or the well-being of others.
I understand ARTIST & NOMAD reserves the right to decline or remove anyone from a trip—before or during—if they believe the traveler is unable to meet the physical demands or may negatively impact the group experience.
I understand that if medical care is needed during the trip, I am solely responsible for all related costs, including any transportation.
I understand that access to medical facilities and evacuation services may be limited.
I understand I am required to purchase travel insurance for the tours and retreats that require it, and the company, type, and level of coverage are of my choosing.
Smoking/Alcohol/Drug Use:
I understand that ARTIST & NOMAD has a no-smoking policy on all tours and retreats.
I agree that if I consume alcohol, I will do so responsibly and with sensitivity to the group and local customs, especially in religious settings.
I understand that ARTIST & NOMAD has a zero-tolerance drug use policy for everyone’s safety.
Vaccines & Entry Requirements:
I agree that I meet all health and entry requirements for the tour or retreat I choose.
I agree I have a valid passport and all visas, permits, certificates, and vaccinations or vaccination exemptions required for travel and entry into my destination.
Travelers’ Responsibility and Risk & Liability:
I understand and accept all risks associated with international travel or local travel.
I agree to release and hold harmless ARTIST & NOMAD, including its owners, team, and partners, from any claims, losses, damages, costs (including reasonable legal fees), or liabilities arising from:
My violation of these terms or related documents
Breaking any laws or regulations
Infringement of others’ rights (including privacy or publicity)
Use of ARTIST & NOMAD’s website or services
Participation in any ARTIST & NOMAD tour or retreat
My own negligence or intentional misconduct
Third Party Providers/Suppliers:
I understand ARTIST & NOMAD acts solely as a coordinator, with independent third-party providers of lodging, meals, transportation, activities, and other services (“Suppliers”). These Suppliers are independent businesses and are not employees, agents, or affiliates of ARTIST & NOMAD. Each Supplier operates under its terms and local laws, and ARTIST & NOMAD, while carefully vetting Suppliers, is not responsible for their actions, omissions, or service quality.
I agree to take full responsibility for my behavior and actions and to indemnify and hold harmless ARTIST & NOMAD from any claims brought by:
Third parties due to my actions, my family members, heirs, or dependents, or third parties that my family, estate, or heirs may sue and who, in turn, seek reimbursement from ARTIST & NOMAD. This does not apply in cases of reckless or fraudulent conduct by ARTIST & NOMAD or its employees, guides, or leadership.
Force Majeure (Unforeseen Events): I agree that ARTIST & NOMAD is not responsible for delays, changes, or cancellations caused by events beyond our control. These include, but are not limited to: natural disasters, weather, illness, war, terrorism, civil unrest, strikes, government actions, or other unexpected situations (“Force Majeure”). These events may impact the ability to operate or complete parts of the trip, and we cannot be held liable when such events occur. I understand ARTIST & NOMAD may not be able to refund any payments for a Force Majeure event.
Complaint Procedure:
I agree that if I experience a problem on my tour/retreat, I will notify my host or ARTIST & NOMAD within 24 hours of the issue. If the issue is unresolved, I may submit a written complaint within 14 days of the trip’s end, with the understanding that complaints submitted after 14 days will not be accepted.
I understand that while ARTIST & NOMAD does their best to support travelers, submitting a complaint does not automatically imply liability or compensation.
Updating of Terms and Conditions:
I agree that ARTIST & NOMAD reserves the right to update and/or alter these terms and conditions at any time. I understand my continued booking and participation indicate my agreement to the latest version available at the time of travel.
